VOB, defined
Short answer: A VOB (verification of benefits) is the process of confirming a prospective patient’s insurance coverage for treatment, carrier, plan type, deductible, out-of-pocket status, and behavioral health benefits, before admission. In admissions, the VOB determines which programs are financially realistic and is the gateway between the first call and the clinical assessment.
Why It Matters
Why it matters
The VOB is where admissions momentum lives or dies. Callers who reach verification quickly stay engaged; callers who wait hours or days go elsewhere. VOB also protects the center, admitting without verified benefits creates denials and write-offs downstream.
Measurement
How it is measured
Centers track VOB rate (qualified inquiries reaching verification), viable VOB rate (VOBs with workable coverage), and VOB turnaround time (first call to completed verification). All three belong on the admissions dashboard, by source and by rep.
Benchmark
Benchmark and example
High-performing admissions floors verify during or immediately after the first call, turnaround measured in minutes, not days. If most qualified callers never reach a completed VOB, the intake workflow, not the marketing, is usually the leak.
Common Mistakes
Common mistakes
- →Collecting insurance details on a second call instead of the first
- →Batching VOBs to run later in the day, or the next day
- →No automatic CRM trigger from completed intake to VOB task
- →Not tracking VOB rate by source, so marketing quality problems hide
- →Treating a slow VOB as normal instead of as lost admits
Improvement
How to improve it
Verify on the first call, automate the intake-to-VOB handoff in the CRM, follow up relentlessly on incomplete verifications, and report VOB rate and turnaround weekly. Our guide on increasing VOB rate covers the full playbook.
