A warm transfer means the first rep stays on the line, introduces the caller by name, summarizes the situation, and hands off the relationship, versus a cold transfer that dumps the caller into a new hold queue to start over.

  • Tell the caller what is happening and why the next person helps them
  • Brief the receiving rep before connecting, name, situation, insurance status, urgency
  • Introduce both parties, then exit cleanly
  • Log the handoff in the CRM so context travels with the caller
