Most inquiries do not admit on the first call, and most centers quit after one voicemail. The revenue is in the follow-up. Here is the cadence.

Structure the chase
- →Day 0: immediate callback on missed contact, plus text within the first minute
- →Day 0, later: second attempt at a different hour, evening reaches people daytime calls miss
- →Day 1–2: call plus text daily, vary times; reference the specific situation from the first conversation
- →Day 3–7: every other day, alternating call and text; add one email if captured
- →Week 2+: weekly warm check-ins, the window of willingness reopens, be there when it does
- →Always: log every attempt in the CRM and automate task creation so no lead silently dies
Tone matters more than frequency: every touch should feel like care, not collections. Reference what the caller shared, and always make the next step tiny.

What follow-up cadence should admissions teams use?
Immediate contact on day 0 (call plus text within a minute), daily touches for the first two days, every-other-day through week one, then weekly warm check-ins, with every attempt logged and automated in the CRM.
How many follow-up attempts before giving up on a lead?
Do not think in attempts, think in cadence. Willingness in behavioral health reopens unpredictably; a weekly warm touch keeps the center present when it does. Leads only close when the caller admits elsewhere or asks to stop.
Should follow-up be calls or texts?
Both. Calls carry empathy; texts get read. Alternate them, vary times of day, and keep texts short, personal, and pressure-free.
